To ensure that your visit to Gadigal Country and the experience of the conference is as enjoyable as possible, here is a list of Frequently Asked Questions which will hopefully provide you with all the information you need.

We encourage you to read through this before you attend. Please contact us if you have a question that we haven’t answered.


LOCATION

Gadigal Country 

Sydney is the traditional land of the Gadigal People, part of the Eora Nation. Eora means 'here' or 'from this place'. The lands of the Gadigal People stretch along the southern side of Port Jackson (Sydney Harbour) from South Head to Petersham, down to the Alexandra Canal and Cooks River.

AT THE CONFERENCE 

Dress Codes 

Casual Business attire is suitable for conference sessions.
Dress codes for the social functions can each be found on our Social Functions page.

Registration Desk  

Registration desk open hours will be shared closer to the event, and will be shared in the onsite preparation email shared prior to the conference as well as via the Mobile App. Delegates will be required to collect their badge on arrival and wear it to access sessions and workshops. 

Mobile App  

A Mobile App will be released to download for iOS and Android through the App Stores. 

The app contains all the information with regards to the conference and the program. If you have difficulties downloading/navigating the app, please see the staff at the registration desk.

Program Changes  

See the latest version of the program on the website and Mobile App. Any changes to the program during the event will be announced during housekeeping notices each morning. You may also check with staff at the registration desk.

Photographing and Recording Presentations  

Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker and from AIDA. 

A photographer will be at the conference, if you have any issues with being photographed, please notify the photographer.

Free WiFi

Free wireless internet access is available for the duration of the conference. The password and login details will be available at the registration desk.

Dietary Requirements  

If you have advised us of any special dietary requirements during the registration process, the caterers at each function have been provided this information. A special buffet table will be set during the day catering breaks for special diets. If you are unsure, please see the venue staff.

Security 

The Organising Committee, event organisers and AIDA accept no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party. Please protect your personal property.

Insurance

Registration fees do not include insurance of any kind. It is recommended that delegates take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses. No responsibility is taken by the conference managers or AIDA for any person not holding insurance.


SPEAKERS AND CHAIRPERSONS  

Chairpersons

Chairpersons will receive an email prior to the conference, reminding them of their responsibilities. 

If you are a chairperson and do not receive this, or have additional questions, please contact the event organisers or see the registration desk if you have questions. 

Speakers

All speakers must visit the Speakers Preparation Room, at least two hours prior to their scheduled presentation time, to upload their presentation deck, to test and modify your slides within the AV Techs. All presentations need to be 16:9 in ratio.

Speakers must be present in their sessions room at least 5-minutes before the session starts to meet with the chairperson and familiarise themselves with the AV equipment. 


ACCOMMODATION 

Paying For Your Room 

If you booked your accommodation when you registered for the conference through our group blocks, your credit card details have been provided to the hotel you have selected as a booking guarantee. Please ensure you are aware of the Terms and Conditions of the hotel, as a deposit a month prior to the arrival date may be due. View the details of the hotels in our group blocks. 

If you will not be paying with a card in your own name, or need to arrange payment before you arrive, the best way is via a credit card authorisation form enabling the hotel to process a third-party card. Please contact the event organisers immediately for assistance. 

Cancelling Accommodation 

If you have booked a room from our group accommodation block during the registration process, you will need to contact the event organisers to modify your booking details. Hotel policies will apply, see your registration confirmation email for details on cancellation terms.
